Archiving and Reactivating Patients

Archiving removes a patient from your active patient list without deleting their record. Archived patients can be reactivated at any time.

How to Get There

Open a patient record. The archive option is available from the patient actions menu (top-right of the patient header).

Archiving a Patient

  1. Open the patient record
  2. Click the actions menu (three dots) in the top-right
  3. Select Archive Patient
  4. Confirm the action

Before archiving, the system checks for things like upcoming appointments, outstanding invoices, incomplete tasks, and active patient links, and shows them as warnings so you can review them. These are reminders, not blockers -- you can still archive the patient. Where possible, cancel or complete upcoming appointments and settle or void outstanding invoices first.

What Happens When You Archive

  • The patient is removed from the active patient list
  • Their record is preserved (clinical data, history, documents)
  • They no longer appear in default searches
  • Existing appointments and invoices remain in the system

Reactivating a Patient

  1. Use the patient filter to show Archived patients
  2. Open the archived patient record
  3. Click the actions menu
  4. Select Reactivate Patient

The patient returns to your active list immediately.

Finding Archived Patients

In the patient list, use the status filter to switch between Active, Archived, or All patients.

Tip: Archiving is reversible and non-destructive. Use it to keep your active patient list focused on current patients without losing any historical data.
