Inbox Overview

Last updated: 5 July 2026

The Inbox is your central hub for managing clinical workflows. Every item that needs attention - whether it's a lab result, patient message, questionnaire response, or appointment event - appears here as an episode.

The "Next Action" Model

The Inbox is organised around who needs to act next, not traditional status labels. Every episode has a responsibility:

Next Action Meaning
Open Your team needs to act next
Waiting Waiting on the patient — returns to Open automatically when they reply
No action Resolved or informational — neither side has the ball

This keeps the focus on what needs your attention right now.

Tabs and Filters

The Inbox is organised into three tabs across the top, following the Next Action model — they group episodes by who needs to act next:

  • Open - your team needs to act next
  • Waiting - waiting on the patient (an episode returns to Open automatically when the patient replies)
  • Closed - resolved episodes, kept for reference

Within a tab, the left sidebar lets you narrow the list further:

  • Priority - Urgent, High, Medium, or Low
  • Assigned To - Unassigned, assigned to you, a specific team member, or a team
  • Pathway - filter by journey type such as Appointment, Questionnaire, Clinical Result, Messaging, Billing, Document, Identity, Clinical Access, or General

Sorting and Display

  • Sort by newest, oldest, or priority

Closed episodes aren't behind a toggle — they have their own Closed tab (see Tabs and Filters above).

Saved Views

If you frequently use the same combination of filters, you can save them as a view:

  1. Set up your desired filters
  2. Click the Save View button in the sidebar
  3. Give the view a name
  4. The view now appears in the sidebar for one-click access

You can rename or delete saved views at any time. Selecting a saved view instantly applies all its filters.

Tip: Create a saved view for your most common workflow, such as "My urgent episodes" filtered to Priority: Urgent and Assigned To: Me.

Message Timeline

The conversation view includes several features to help you follow the thread:

  • Date separators divide messages by day so you can quickly find when something happened
  • Delivery indicators show whether messages have been sent and delivered
  • Clickable appointment titles let you jump straight to the appointment from an event in the timeline
