How to Configure Appointment Types

Appointment types define the kinds of appointments your practice offers. Each type has its own settings across six tabs.

How to Get There

  1. Open Configuration from the top navigation dropdown
  2. Select Appointment Types

Click Create to add a new type, or click an existing type to edit it.

Basic Info Tab

The first tab covers the essentials:

  • Name and Description - what the appointment is called and any notes for staff. Use the AI button to generate a description from the name
  • Duration - choose from preset options (10, 15, 20, 30, 45, or 60 minutes) or enter a custom duration
  • Colour - pick a colour for the calendar display

Delivery & Pricing Tab

Configure how appointments are delivered (in-person, video, phone) and set up pricing with Stripe or Xero. Enable group/class bookings here too. See the Appointment Delivery Modes and Pricing article for full details.

Scheduling Tab

Control buffer times, minimum notice, maximum advance booking, and cancellation windows. See the Appointment Scheduling and Booking Rules article for full details.

Booking Rules Tab

Set per-patient booking limits and toggle the appointment type's active status. See the Appointment Scheduling and Booking Rules article for full details.

Questionnaires Tab

Attach questionnaires that patients receive when they book:

  • Add one or more questionnaires
  • Mark each as required or optional
  • Set conditional logic if needed

Notifications Tab

Configure which notifications are sent and when:

  • Choose triggers: booked, rescheduled, reminder, cancelled
  • Choose channels: Email, SMS
  • Set reminder timing (e.g. 24 hours before the appointment)

Managing Appointment Types

From the appointment types table, you can:

  • Edit - update any settings
  • Duplicate - copy all settings to create a similar type quickly
  • Archive - hide the type from new bookings without deleting it
  • Delete - permanently remove the type

Tip: Use Duplicate when creating a variant of an existing type (e.g. a 30-minute version of a 15-minute appointment). All settings are copied, including billing and notification configuration.
