How to Reschedule an Appointment

Move a confirmed appointment to a different date or time without cancelling and rebooking.

How to Reschedule

  1. Open the appointment from the Appointments list or the Calendar
  2. Click the Reschedule action (available in the three-dot menu or the appointment sidebar)
  3. In the dialog, you will see the current date and time
  4. Select a new date and time using the datetime picker
  5. Choose a reason for rescheduling
  6. Click Confirm

Rescheduling Reasons

You must select a reason from the following options:

  • Patient requested
  • Clinician unavailable
  • Scheduling conflict
  • Emergency
  • Late cancellation by patient
  • Rebooking after no-show
  • Clinical need
  • Administrative error
  • Other (with a free-text field to specify)

What Happens After

  • The appointment moves to the new time
  • The patient receives a rescheduling notification (if configured)
  • The original time slot becomes available again
  • The change is recorded in the appointment's audit timeline

Validation

The system checks that:

  • The new time respects the appointment type's minimum notice period
  • The clinician is available in the new slot
  • The new time falls within the allowed advance booking window

Tip: If you need to change the appointment type or clinician rather than just the time, cancel the appointment and book a new one.

Changing something other than the time

Rescheduling is for moving an appointment to a different slot. If the time is right and you need to change something else about it, you can edit the appointment in place instead.

Right-click the appointment on the calendar and choose Edit appointment. The drawer is laid out like the booking flow and covers the appointment's details, including the buffer before and after it - which previously could only be set while booking.

Editing an appointment needs the same permission as booking one.
