How to Manage Clinician Sessions

Sessions define when a clinician is available for bookings. Each session specifies a clinician, location, time range, and which appointment types can be booked into it.

How to Get There

Navigate to the Sessions page from the left sidebar under the scheduling section.

Creating a Session

  1. Click the New Session button
  2. In the session editor, fill in the tabs:

General Tab

  • Name - a label for the session (e.g. "Morning GP Clinic")
  • Clinician - the clinician running the session
  • Location - the practice location, or tick Allow remote for video/phone

Schedule Tab

  • Start and end times - the time window for the session
  • Recurrence - set a recurring pattern (e.g. every Monday and Wednesday) or a one-off date

Appointment Types Tab

  • Select which appointment types can be booked into this session
  • Only selected types will appear as available during this session

Notes Tab

  • Free-text notes visible to staff about this session
  1. Click Save to create the session

Managing Existing Sessions

The sessions table shows:

Column Description
Name Session label
Clinician Assigned clinician
Location Practice location or Remote
Schedule Time range and recurrence pattern
Status Active or Inactive

Actions available per session:

  • Edit - update session settings
  • Duplicate - copy all settings to create a similar session
  • Activate / Deactivate - toggle availability without deleting
  • Delete - permanently remove the session

Use the filters at the top to narrow by Clinician, Location, or Status.

Session Templates

Reusable session patterns are available at Settings > Session Templates. Templates let you quickly create new sessions with pre-filled settings. Templates are organised into:

  • Practice Templates - shared across the organisation
  • Personal Templates - owned by a specific clinician

Session Templates

Session templates are reusable patterns that speed up session creation. Navigate to Settings > Session Templates to manage them.

Practice vs Personal Templates

Templates are organised into two groups:

  • Practice Templates - shared across the organisation, not linked to a specific clinician
  • Personal Templates - owned by a specific clinician, visible only to them

Creating a Template

  1. Click New Template
  2. Set the session name, location (or mark as remote), time range, and recurrence pattern
  3. Select which appointment types can be booked into sessions created from this template
  4. Save the template

Managing Templates

Use the search bar to filter templates by name, clinician, or location. Each template shows the location, time range, and the number of appointment types allowed.

Actions available from the three-dot menu:

  • Edit - update the template settings
  • Duplicate - copy all settings to create a variant
  • Delete - permanently remove the template

Tip: Create practice-level templates for standard clinic patterns (e.g. "Morning GP Clinic") so any admin can quickly set up sessions without configuring from scratch.
